Position Overview:
The Front Desk & Data Specialist is responsible for data entry, maintaining the accuracy of our records, assisting with client communications, filing paperwork, and supporting firm-wide administrative processes. This role sits at the front desk, making it a crucial point of contact for both internal team members and clients. Responsibilities:
- Ensure accurate and timely data entry and updates in accordance with company policies.
- Maintain and organize client files within our electronic filing system.
- File and manage paperwork efficiently, ensuring compliance with internal processes.
- Assist with mass mailings and other client communication initiatives.
- Monitor and maintain the integrity of our client database, ensuring consistent data entry across the firm.
- Identify and correct data entry errors and provide guidance to team members on proper procedures.
- Keep up with training in our software systems, staying informed on new updates and processes.
- Greet clients and visitors at the front desk, creating a professional and welcoming environment.
- Assist in various administrative tasks assigned by the Database Manager and firm leadership.
- Strong organizational skills with the ability to manage time efficiently and prioritize tasks.
- Excellent attention to detail and analytical skills.
- Intermediate proficiency in Microsoft Word, PowerPoint, Excel, and Outlook.
- Demonstrates initiative, teamwork, and advanced communication skills.
- Ability to handle confidential client and company information with discretion.
- Proficient technical skills in computer systems, data entry, and software applications
